Sales Transactions – Billing Status ‘Open’ does NOT show unmatched journals

On the saved search for Sales Transactions we have noticed that a journal entry (which would act like a payment) shows immediately as closed on the Billing Status, even before it has any invoices matched to it.

The Billing Status column only appears in the filter screen when editing the saved search, so I cannot display it in the results or add it to the criteria.

Has anyone else seen this, and if so, is there a way I can show the journal as open when unmatched and closed when matched?

Yes, I have seen this before. It is a known issue in NetSuite that journal entries are marked as closed on the Billing Status even before they have any invoices matched to them. This is because NetSuite considers a journal entry to be closed when it is posted, regardless of whether or not it has been matched to any invoices.

There is no way to change this behavior in NetSuite. However, there are a few things you can do to work around it:

  1. You can use a saved search to filter journal entries by Billing Status. This will allow you to see which journal entries are unmatched and which ones are matched.
  2. You can use a custom field to track the status of journal entries. For example, you could create a custom field called “Journal Entry Status” with the following values:
    • Unmatched
    • Matched
    • Closed

You could then update the journal entry status manually when you match it to an invoice. 3. You can use a third-party application to track the status of journal entries. There are a number of third-party applications available that can integrate with NetSuite and provide additional functionality for managing journal entries.
